The mission of the Financial Aid Office is to assist students in identifying, understanding, and meeting their educational costs. The Office of Financial Aid is committed to the highest level of customer service and effective, efficient delivery of financial assistance from federal, state, and private sources to all West Georgia Technical College students.

Applying for Financial Aid

Your financial aid eligibility is dependent upon several factors including: residency and citizenship, admission status, program of study, and number of credit hours. Although you are encouraged to begin your financial aid process early, WGTC cannot guarantee any aid without your being fully accepted to the college and enrolled in classes that are within your chosen major or program of study.

In order to apply for financial assistance you must complete and submit the following:

  • A current application for admission to WGTC
  • High School, GED, and all previous college transcripts; and
  • Apply on-line for the HOPE Application if you are a Georgia resident at GAFutures.org;
  • OR

  • Apply online at www.FAFSA.gov for federal aid (Pell Grant, FSEOG, and FWS) and/or state aid (HOPE) which must be renewed yearly.

There are two major changes to the FAFSA that will take effect for the 2017-18 school year:

  • The FAFSA will be available earlier;
  • The FAFSA will collect income information from an earlier tax year.

FAFSA Completion

If you are in a certificate program that is eligible for HOPE Grant only, you may choose to complete the Hope application online at GAFutures.org. The Georgia Hope website has other resources for planning your college career as well as more details on the requirements for Hope programs.

If you are in a degree, diploma, or a certificate program that is eligible for Hope and Pell you may complete the Free Application for Federal Student Aid (FAFSA) online at www.fafsa.gov. West Georgia Technical College’s Federal School Code for the FAFSA is 010487 (Waco, Georgia).

The FAFSA will qualify a student for Federal awards like Pell Grant and Stafford Loans* as well as Hope programs. The FAFSA must be renewed yearly around tax time. *Please contact a Financial Aid Specialist for more information on Stafford loans!

Once your application is completed online, it may take up to 2 weeks for the school to receive and evaluate it. Some FAFSA applications will be flagged for a process called verification. If you are selected for verification, you will be notified on your Student Aid Report (SAR) from the FAFSA, via a tracking letter from WGTC Office of Financial Aid in your mail, or by checking your Self-Service Banner Web account on the Student Services & Financial Aid tab under Eligibility. The verification process may take 2-4 weeks once all verification documents are submitted.

IRS Data Retrieval Tool
The IRS Data Retrieval Tool is an easy way for students and parents to transfer 2015 tax return data directly into the FAFSA from the IRS. This tool is the quickest way to obtain the individual tax return information needed to complete the FAFSA.

Other Ways to Obtain the IRS Tax Return Transcript
If you are unable to use the IRS Data Retrieval Tool, you may order your 2015 tax return transcript online at www.IRS.gov under the Tools heading, click “Get Transcript of your Tax Records.” You may also request your tax return transcript by calling 1-800-908-9946, or order by mail using IRS Form 4506-T (Request for Transcript of Tax Return). This is a free service.

Financial Aid Verification Process

You might be selected for Verification by the U.S. Department of Education (ED). Out of the students that are selected for verification, it is the Policy of the Financial Aid Office at West Georgia Technical College to verify all Student Aid Reports (SAR or ISIR) selected by ED prior to awarding financial aid. This verification procedure will be in compliance with the latest published regulations or guidance from the U.S. Department of Education. If you are chosen for verification, you must satisfy all financial aid requirements before your financial aid file is considered complete.

Forms for financial aid are available at each campus in Student Affairs - Financial Aid Offices or on our website at www.westgatech.edu/fa/forms.htm.

Your financial aid award package is determined yearly and is based on your current estimated family contribution (EFC), cost of attendance, residency, and other financial aid eligibility requirements. Once your financial aid award package is complete, you will be notified by mail or student email of your financial aid award. You can also view your financial aid award package letter through your Self-Service Banner Web account.

Pell Grant Authorization*

In order for your federal aid to be applied to your account once you are awarded by WGTC, you must:

  1. Login to Self-Service Banner Web at www.westgatech.edu/banner
  2. Select Student Services & Financial Aid
  3. Select Financial Aid Student Authorization
  4. Authorize Pell Grant
  5. Select “I Authorize This Transaction”

*This is a one-time only process.

If an overage exists after your tuition and fees have been deducted from your financial aid award you will receive a credit in the campus bookstore to use towards book purchases. Any credit available in the bookstore will be available the week prior to the start of class. Please be aware of the availability of funds in the bookstore.


Any remaining funds will be issued as a refund by the Business Office. Refunds normally begin the 5th week of the term. All registered students should receive a refund disbursement packet from BankMobile. Refund options include ACH to a current bank account or opening a BankMobile Vibe account. When refunds are processed, they will be deposited to the student’s selected account. Please ensure mailing addresses are kept current with WGTC and BankMobile to receive information regarding refunds.

You must be accepted to the college before financial aid awards can be determined. We will accept all applicants for financial assistance at any point during the semester, but deadlines are very important at WGTC. 2017-2018 priority deadlines for financial aid and admissions are as follows:

  • Summer 2017 semester is April 13, 2017
  • Fall 2017 Semester is June 22, 2017
  • Spring 2018 Semester is November 9, 2017
  • Summer 2018 Semester is April 12, 2018
  • We encourage all students take care of their financial aid needs, weeks in advance of the deadline dates, by becoming familiar with our Academic Calendar and Self-Service Banner Web account. WGTC Financial Aid deadlines and Admissions deadlines are also posted on our Academic Calendar. Please check our Academic Calendar frequently for important deadlines.

    Your financial aid file must be complete prior to early registration in order to ensure no delays in receiving financial assistance for which you are eligible.

    NOTE: If you apply after the priority deadline you may not have aid readily available for book purchases and/or financial aid credited to your account at the time classes begin. In the event you apply late it is your responsibility to cover your tuition, fees, and book cost until you can be refunded.
