Book store Procedures with
Financial Aid

All Pre-Registering Students

• The Financial Aid Office will supply the business office with a file of the list of students showing first name, last name, student id number, and HOPE book allowance for the current term. The Business Office will send the file to the bookstore after placing beside the student’s name in the file the codes WIA, VOC REHAB, VA Rehab, Private Business Billings, Scholarships, TAA, CDL, and TRA etc for the bookstores convenience. The file will contain all pre-registering and early registration students. Late registration students will need to go to the Financial Aid Office to get their financial aid vouchers.

The above file and vouchers will be given to the bookstore a week before classes begin so students may purchase books early. As each student purchases their items, they will sign a voucher. Should the student use less than the full amount of the book voucher during the quarter, a refund will be given to the student at the time of a purchase. A book allowance check will be mailed to the student 3-4 weeks after the quarter begins if they did not use any amount of the voucher in the book store.

• PELL students will need identification and a signed Attendance Verification slip found in the Financial Aid Office before the student will be given a PELL Voucher to use in the book store. If their files are complete they may use their PELL award 1 week before classes begin for books and supplies.

All Later Registering Students

People who register for classes after final registration, open entry programs or anyone enrolling after the list has been given to the bookstore from Financial Aid:

• The Financial Aid Office will issue a paper HOPE & PELL book voucher to the student after the student’s file is complete and aid has been authorized in the financial aid system. The paper voucher must be used in the book store as soon as possible. The bookstore has a time limit of how long the vouchers may be used of about 3 weeks into the quarter.

On-Line students book vouchers

Contact the Campus Shop Warehouse at 1-800-824-0698 to have your books shipped to you using a credit card. Your book allowance check will be mailed to you during the quarter if you do not use the voucher in the book store.
